Managing telecom spend with Spenza

A typical mid sized Enterprise receives tons of invoices from multiple operators every month. Tracking the spend and paying the bills on time is a tedious task that falls on the most over-worked personnel in the HR, finance and operations team. With Spenza, you can now track all operator invoices in one place and pay with a single bill. You save time, optimize spend and also save on late charges!

Managing telecom invoices from multiple operators using Spenza is a breeze. You can uploaded supported telecom invoices as received by the operators in PDF format and Spenza will do the rest.

Step 1 : Navigate to the File Stores in the Expense Management section.

Step 2 : Upload the PDF invoice with “Import PDF Invoice” button. After processing, Spenza extracts the invoice details and converts them into a ready-to-download CSV file.

Currently, telecom bills from operators like AT&T, T-Mobile, and Verizon are supported, with the list of supported operators continuously expanding. The system can easily learn to parse any invoice format by providing a sample and adjusts to changes in formats over time.

Step 3 : The details extracted from the invoice are displayed in Expense Management → Invoice Summary.

This gives immediate access to key information such as the total amount. All details including phone lines, users, devices, and expenses are categorized and accurately allocated to the appropriate inventory sections.

Step 4 : The dashboard updates in real time, allowing the selection of an appropriate date to match the invoice details and review spend and usage with precisely recorded data. Monitor consumption and subscription for data, voice and active subscriptions in the plan recommendation section.

Step 5 : Go to Expense Management → Company Plan Recommendations. A list of phone lines from the inventory will be displayed, each with a suggested plan. Spenza tracks the savings, illustrating cost reduction by adopting the recommended plans.

The annual wireless spend indicates the total amount that will be spent for Number of Plans at an average monthly cost of per user. Annual plan price is the annual plan price including the Spenza subscription cost, and the Annual Savings is the potentials savings by choosing the recommended plan.

Step 6 : After deciding on the recommendations, download the configuration in a CSV format through the “Export Plan Configuration” button.

That is how you can track all invoices in one place automatically, avoid late charges and optimize costs.
